Project documentation

Create records that help people decide, operate, and maintain the result.

The idea

Useful documentation serves a defined audience and purpose. A charter establishes direction; a plan organizes delivery; status reports support decisions; operating guides sustain the result. Keep ownership, version, and location clear. Prefer authoritative records over duplicated outdated copies. Include security-relevant configuration, recovery, and publishing information where appropriate. Documentation should be maintained as the product or process changes.

In practice

A library README explains how to add a concept, validate links, preview changes, and publish them from the private repository.

A common misunderstanding

More pages do not guarantee clarity. Contradictory or stale documents can create operational risk.

Check your understanding

What should a handover document make possible?

Think it through: A responsible person can operate and maintain the delivered result without relying on the original author’s memory.

Write for the person who needs to act

Useful project documentation reduces the effort required to make a decision, perform a task, or maintain the delivered service. Different readers need different records. A sponsor needs the purpose and material tradeoffs; an engineer needs configuration and dependencies; a support operator needs practical troubleshooting and escalation information. Combining everything into one long document can make each purpose harder to serve.

Keep ownership and freshness visible. A procedure without a responsible maintainer or revision context may describe a system that no longer exists. Link to the authoritative configuration or decision record instead of copying information into several places that will drift apart. Sensitive material such as recovery secrets should be stored through the appropriate secure mechanism, not pasted into a broadly shared handover guide.

A fictional unusable runbook

An authentication project produces a detailed architecture document but no instructions for a locked-out employee. During a rehearsal, support staff cannot determine who can approve recovery. The team adds a focused runbook that explains verification, authorization, escalation, and audit recording without exposing secret recovery material.

The runbook is then tested by someone who did not write it. Their questions reveal assumed knowledge and missing prerequisites. That review is often more valuable than another round of cosmetic formatting. Documentation becomes part of the working service when intended users can complete the relevant action reliably.

Edit for a concrete reader

Choose a fictional procedure for rotating a service credential. Identify its intended operator, prerequisites, approval, steps, verification, and failure route. Remove background that belongs in a separate design note, but retain enough context to avoid dangerous misunderstandings. Ask a colleague to explain where they would stop and request help if a step produced an unexpected result.
